Privacy Policy

This policy explains how PingMe (“PingMe”, “we”, “us”) collects, uses, shares and protects personal data when you use our reminder service on WhatsApp or visit pingme.net.in, and the rights you have. It is written to meet India's Digital Personal Data Protection Act, 2023 and its Rules, the Information Technology Act, 2000 and its rules, and the WhatsApp Business and Meta Platform policies.

1. Who we are

PingMe is a business registered in India under Udyam (MSME). We decide how and why your personal data is processed, which makes us the “Data Fiduciary” for that data.

2. Data we collect

We do not ask for or collect your contacts, location, photos, payment details, government IDs, or messages from any chat other than your chat with PingMe. Please don't put sensitive information (such as passwords, bank or health details) in your reminders. Our website is served through Firebase Hosting's global network and does not use cookies, analytics or third-party trackers; like any web server, it may briefly log technical request data (such as IP address and browser type) to deliver and secure the site.

3. How we use your data, and your consent

When you first message PingMe, we reply with a welcome message that explains how the service works, that your messages are processed by an AI service to create reminders, and that you can reply STOP at any time. Your use of PingMe is activated only after you tap Proceed — that is how you give consent. Messages you send before tapping Proceed are not processed or used to create reminders; send your reminder again once you're activated.

We use your data only to:

• read your message and create the reminder you asked for;
• send you the confirmation and the reminder at the requested time;
• let you cancel a reminder;
• respond to your questions and requests;
• keep the service secure, prevent abuse and meet legal obligations.

We do not use your data for advertising, profiling or marketing, and we do not sell, rent or trade it. You can withdraw consent at any time — as easily as you gave it — by replying STOP in the chat. See section 9.

4. AI processing

To work out the date, time and task from your message, we use Google's Gemini AI model through Google Cloud Vertex AI, running in Google Cloud's Mumbai (India) region. Your message text is used only to create your reminder, and Google Cloud's terms do not allow Google to use it to train its models. We never use your data to train or improve any AI model.

5. Who we share it with

We share personal data only with service providers that process it on our behalf, under contract, to run PingMe:

Your data is stored and processed on our systems in India. WhatsApp messages are carried by Meta's infrastructure, which may be located outside India. We may also disclose data where required by law, a court order or a lawful request from a government authority. Your use of WhatsApp itself is governed by WhatsApp's own terms and privacy policy.

6. How long we keep it

• Reminders and message text: kept for 1 year after the reminder is sent or cancelled, then deleted.
• Records used to prevent duplicate processing: deleted within 7 days.
• Phone number and profile name: kept while you use PingMe; deleted when you reply STOP or ask us to delete your data.
• Emails about rights requests: kept as long as needed to handle the request and show we handled it.
• Service logs: kept for 1 year, as required by Indian law.

If you reply STOP or ask us to delete your data, we delete it within 30 days, except records Indian law requires us to keep (such as service logs), which we keep only for that legal purpose and delete when the required period ends.

7. Security

We use reasonable security safeguards, including encryption in transit, encrypted storage on Google Cloud, restricted access on a need-to-know basis, and logging to detect misuse. If a personal data breach affects you, we'll inform you without delay through WhatsApp or email — explaining what happened, the likely impact and what we're doing about it — and report it to the Data Protection Board of India as required.

8. Your rights

Under the DPDP Act, 2023, you have the right to:

• Access — get a summary of the personal data we hold about you and how we use it, and who we've shared it with;
• Correction — have inaccurate or incomplete data corrected or updated;
• Erasure — have your data deleted (see section 9);
• Withdraw consent — at any time, by replying STOP;
• Grievance redressal — raise a complaint with us (see section 10);
• Nominate — name another person to exercise these rights on your behalf in the event of your death or incapacity.

To use any of these rights, email jayesh@pingme.net.in and include the WhatsApp number you use with PingMe. We may message that number to confirm it's you. Withdrawing consent doesn't affect processing that already happened.

9. How to delete your data

You can delete your data in either of these ways:

• On WhatsApp: reply STOP in your chat with PingMe. We'll cancel any pending reminders and delete your data.
• By email: write to jayesh@pingme.net.in with the subject “Delete my data” and your WhatsApp number.

We'll complete deletion within 30 days and confirm on WhatsApp or by email. To check the status of a request, reply to that confirmation or email us. If we can't delete some data — for example, because the law requires us to keep it — we'll tell you what and why. Deleting the chat on your phone doesn't delete data on our side; please use one of the options above.

10. Grievances

For any concern about how we handle your data, contact our Grievance Officer:

We'll acknowledge your complaint promptly and resolve it within 30 days. If you're not satisfied with our response, you may complain to the Data Protection Board of India.

11. Children

PingMe is meant for people aged 18 and over. We don't knowingly process children's data. If you believe a child has used PingMe, contact us and we'll delete their data.

12. Changes to this policy

We may update this policy as PingMe or the law changes. We'll post the new version here with a new “last updated” date and, for significant changes, tell you in the chat before they take effect.
